Duplicate Record (EmplID) Search and Reconciliation
Search/Match:
Before creating a new EmplID (WesID), it is essential that you verify that the individual does not exist in the system. There can be no duplicates within SFIS. If a preliminary search indicates the individual does not exist in the database, investigate further using this document using Search/Match.

Reconciling Duplicates:
It is important to identify and merge duplicate EmplID (or WesID) records in SFIS/HRMS.
The Duplicate Record Reconciliation Detail document provides details for reconciling duplicate EmplIDs. There are six major steps:
i. Identify duplicates by one of these processes:
(a) Use the Search/Match Process or
(b) Run a duplicate EmplID Report for a particular constituent type.
ii. Run a report to identify the tables associated with both duplicate records.
iii. Determine which record is the “good record” (the record to be retained).
iv. Update the “bad record” to identify it as a duplicate.
v. Merge the data from the “bad record” to the “good record.”
vi. Update the “bad record” for deletion.
Note: Individual functional areas should develop procedures for merging data.
